In RCCG BVA, we respect your privacy and we are committed to protecting your personal data. This privacy policy will keep you informed on how we look after your personal data. This policy will also inform you about your privacy rights and how the law protects you.

The Redeemed Christian Church of God was established in 1952, with a presence in over 190 countries of the world. RCCG BVA is a Charitable Company registered with the Charity Commission (Charity No. 1122134).

3. PURPOSE OF THIS PRIVACY POLICY

This privacy policy aims to give you information on how RCCG BVA collects and processes your personal data through your use of this website, i cluding any data you may provide through this website when you visit our website.

4. RESPONSIBILITY

Our responsibility is to ensure that this notice is made available to potential data subjects prior to collecting/processing their personal data.

All staff and members of RCCG BVA who interact with data subjects are responsible for ensuring that this notice is drawn to the data subject’s attention and that their consent to the processing of their data is secured.

5. SENSITIVE PERSONAL DATA

The Data Protection Act 2018 recognises some information as ‘sensitive personal data’. This includes, but is not limited to, information which reveals your religious beliefs, health records, race or ethnic origin.

RCCG BVA is a Church committed to preserving its Christian ethos and its beliefs in accordance with our statement of faith (further details are available on our website www.rccgbracknell.org).
Where necessary and consented to, we may collect details about your personal faith. Additionally, we collect details about any health concerns or disability you have disclosed so we can meet any additional customer service requirements.

We also receive prayer requests, and the information may reveal sensitive personal data. As a praying church, we may pray and share our prayers at our internal prayer sessions.
We will always ensure we treat any sensitive personal data we process with greater care and process the information in accordance with the Data Protection Act 2018.

6. CHILDREN’S DATA

This website is not intended for children, and we do not knowingly collect data relating to children. It is, however, important that you read this pr vacy policy together with any other privacy policy or fair processing policy we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data. This privacy policy supplements other notices and privacy policies and is not intended to override them.

7. WHAT IS PERSONAL DATA?

Personal Data is defined under the General Data Protection Regulation (GDPR) as any information relating to an identified or identifiable natural person (‘data subject’).

An identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed.

8. WHY WE COLLECT YOUR PERSONAL INFORMATION

  • For the administration of our Parish and to carry out our primary objective, which is to advance the Christian Faith and the Relief of Poverty worldwide. The benefit of being on our correspondence list is that you get information about our outreach events, spiritual and physical development training, and real-time information on how we are reaching out to our community, responding to your queries, and acknowledging the donations you make. You may also get a notification on Prayer and Fasting Programmes, notification on consultations that affect the Christian Faith, and notification of other events on the Christian Calendar globally.
  • To process your partnership donations (if applicable) and any other donations.
  • To reclaim tax on Gift Aid donations, if applicable.
  • To verify that you are over 18 and, if not, obtain permission from your parent/guardian to process your information or accept any regular donations.
  • To enable us to take more excellent care when engaging with our senior citizens. When you visit our website, we may gather information about which pages you visit to help us improve and provide you with the best service.
  • To determine and improve the effectiveness of our website and publicity campaigns.

  • To enable us to contact you with relevant and the most appropriate information.
  • To manage and coordinate our volunteers.
  • For compliance with employment law and other statutory requirements.

9. THE DATA WE COLLECT.

We may collect, use, store and transfer different kinds of personal data about you, which we
have grouped together as follows:

  • Personal identifiers such as your title, name and year of birth;
  • Contact details including postal address, postcode, email and telephone number;
  • Financial information such as your bank details;
  • Whether or not you are a UK taxpayer;
  • Spouse, Children
  • Letters you write to RCCG BVA;
  • Records of your contact with us.
  • Identity Data [includes first name, maiden name, last name, username or similar identifier, marital status, title, date of birth and gender].
  • Contact Data [includes billing address, delivery address, email address and telephone numbers].
  • Financial Data [includes bank account and payment card details].
  • Transaction Data [includes details about payments to and from you and other details of products and services you have purchased from us].
  • Technical Data [includes internet protocol (IP) address, login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access this website].
  • Profile Data [includes your username and password, purchases or orders made by you, your interests, preferences, feedback and survey responses].
  • Usage Data [includes information about how you use our website, products and services].
  • Marketing and Communications Data [includes your preferences in receiving marketing from us and our third parties and your communication preferences].

We also collect, use and share Aggregated Data, such as statistical or demographic data, for any purpose. Aggregated Data could be derived from your personal data but is not considered personal data in law as this data will not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy policy.

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Nor do we collect any information about criminal convictions and offences when you visit the website.

10. IF YOU FAIL TO PROVIDE PERSONAL DATA

Where we need to collect personal data by law or under the terms of a contract we have with you, and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter with you. In this case, we may have to cancel the service we render to you, but we will notify you if this is the case at the time.

11. HOW WE COLLECT YOUR PERSONAL INFORMATION

    • Register for RCCG BVA events;
    • Make a donation;
    • Join our passionate volunteer workforce, including serving as valuable trustees
    • Apply for a job to join our workforce;
    • Work for us as a contractor;
    • Visit our website (please see our Cookies section for more information);
    • Sign up to join our Covenant partners;
    • Apply to take a course at one of our RCCG Schools;
    • Contact us with an enquiry;
    • Complete an application form for any of our services;
    • Complete a survey;
    • Are a Pastor, an Ordained Minister, a volunteer (worker) in RCCG BVA.
  • We collect your personal information from other sources:
    • We may use Google or other search engines, Royal Mail’s postcode finder, National Change of Address update (NCOA@) or the electoral roll to check the accuracy of the address or data we hold;
    • Information made available publicly by Charity Commission, Companies House or information that has been published in newspapers and articles.
    • Automated technologies or interactions. As you interact with our website, we will automatically collect Technical Data about your equipment, browsing actions and patterns. We collect this personal data by using cookies and other similar technologies.

12. HOW RCCG BVA USES YOUR INFORMATION

  • RCCG BVA will process (collect, store and use) the information you provide in a manner that is compatible with the UK’s General Data Protection Regulation (UKGDPR). We will endeavour to keep your information accurate and up to date and not keep it for longer than is necessary. In some instances, the law sets the length of time information must be kept, but in most cases, RCCG BVA will use its discretion to ensure that we do not keep records outside of our normal business requirements.
  • Our aim is not to be intrusive, and we undertake not to ask irrelevant or unnecessary questions. Moreover, the information you provide will be subject to rigorous measures and procedures to minimise the risk of unauthorised access or disclosure.
  • We may pass your personal data onto our service providers who are contracted to RCCG BVA in the course of dealing with you. Our contractors are obliged to keep your details securely and use them only to fulfil the service we provide you on our behalf, such as registration or payment processing. Once your service needs have been satisfied or the case has been closed, they will dispose of the details in line with our record retention procedures. If we wish to pass your sensitive personal data onto a third party, we will only do so once we have obtained your consent unless we are legally required to do so.
  • We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:
    • a. Where we need to perform the contract we are about to enter into or have entered into with you.
    • b. Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights, do not override those interests.
    • c. Where we need to comply with a legal obligation.
  • Generally, we do not rely on consent as a legal basis for processing your personal data, although we will get your consent before sending third party direct marketing communications to you via email or text message. You have the right to withdraw consent to marketing at any time by contacting us.

13. MARKETING PERMISSIONS

We strive to provide you with choices regarding certain personal data uses, particularly around marketing and advertising. In RCCG BVA, we love sharing news about what God is doing through resources, including events organised to advance our primary objectives. This includes sending you information about our work, news, events, information on volunteering and prayer requests.

  • Email and text marketing: We will ask for your permission to contact you by email or text for marketing purposes.
  • Postal marketing: From time to time, we may send you information about our work unless you have told us you would prefer not to receive this i formation by post. If you have registered with the Mail Preference Service (MPS), we will only send you marketing communication by post if you have given us permission to do so.
  • Telephone marketing: We may call to update you on the vital work we are doing. If you have registered your number with the Telephone Preference Service (TPS), we will only make marketing calls to you if you have given us permission to do so.
  • Promotional offers from us: We may use your Identity, Contact, Technical, Usage and Profile Data to form a view of what we think you may want or need or what may be of interest to you. This is how we decide which services and offers may be relevant for you. You will receive marketing communications from us if you have requested information from us and you have not opted out of receiving that marketing.
  • Third-party marketing: We will get your express opt-in consent before we share your personal data with any third party for marketing purposes.
  • Opting out: You can ask us or third parties to stop sending you marketing messages at any time. This can be done by logging into the website and checking or unchecking relevant boxes to adjust your marketing preferences OR by following the opt-out links on any marketing message sent to you OR by contacting us at any time. Where you opt out of receiving these marketing messages, this will not apply to personal data already provided.

14. WHO WE SHARE YOUR INFORMATION WITH

RCCG BVA is a part of the global RCCG family, with a presence in over 190 countries both inside the European Union and outside the European Economic Area (EEA). We will only share the personal information of ordained ministers as is necessary to fulfil our administrative needs for ordained ministers in RCCG Worldwide.

RCCG BVA is committed to ensuring that where data is to be transferred overseas, adequate levels of data protection safeguards when processing your personal information are in place. Whenever we transfer your personal data out of the UK, we ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented:

  • We will only transfer your personal data to countries that have been deemed to provide an adequate level of protection for personal data.
  • Where we use certain service providers, we may use specific contracts approved for use in the UK which give personal data the same protection it has in the UK.

We may also share your personal information with trusted third parties where they arecontracted to develop or maintain our systems. We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.
We monitor information security compliance and have written contracts which obligate our partners or third-party providers to process your personal information only on our instructions and in accordance with applicable data protection and privacy laws.

RCCG BVA and any of its affiliate entities may be under a duty to disclose your personal information where required to comply with any legal obligation.

15. DATA SECURITY

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and
will notify you and any applicable regulator of a breach where we are legally required to
do so.

16. DATA RETENTION

RCCG BVA will only keep your personal information for as long as it is required and in accordance with statutory requirements. For example, HMRC requires that we keep a record of your name, address, and Gift Aid declaration for six years from the date of your last donation. Where the information is no longer required, we will ensure that it is disposed of in a secure manner.

If you have indicated that you do not wish to hear from us in the future, we will keep the minimum information necessary to ensure we avoid contacting you any further. We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements.

We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.

To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal, regulatory, tax, accounting or other requirements.
In some circumstances, you can ask us to delete your data, and in other circumstances, we will anonymise your personal data for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

17. YOUR INFORMATION RIGHTS AND CHOICES

The Data Protection Act 2018 (DPA) gives you the right:

  • To request in writing and securely obtain copies of the personal information RCCG BVA holds about you.
  • To correct or update your personal information processed by RCCG BVA
  • To request that the RCCG BVA stop using your personal information for marketing purposes or for any other purpose where there is no legal requirement for continued processing.

The Privacy and Electronic Communications Regulations (PECR) 2003 gives you the right:

Please note that you will not have to pay a fee to access your personal data or to exercise any of the other rights. We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data. This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

We try to respond to all legitimate requests within one month. Occasionally it could take us longer than a month if your request is particularly complex or you have made several requests. In this case, we will notify you and keep you updated.
